Registration Process

Registration is open for the Fall 2017/Spring 2018 season. 

Registration  

To register for a baseball program, each family (preferably a parent) must first establish an online account on our website. If you created an account last year, that account still exists, and you do not need to create a new one. You only need to create one account ever, and that account is for your entire family and can be updated each year to add new athletes. Even though returning families have an account, please be sure to review and update all your contact information (more on that below).

Please enter all information in the CORRECT uppercase/lowercase format (NOT ALL CAPS) and with correct spelling because we pull directly from the database to set up contact lists, player lists, scout lists, etc.

Note: If you read through these instructions first or print them and have them available as you register, the registration process will probably go much quicker. 

Emails:

IMPORTANT: We now have a way to send information to at least 3 emails per family from the website. Please use these instructions if you want notifications going to 2 or 3 different emails. New families, please follow these instructions. Returning families, please use the settings icon (small gear in upper right corner) to check your information and make sure all emails are listed in the correct boxes.

1) Primary Contact email address - Please put the email for the parent who is listed as the primary contact.
2) List the player's email (if any) in the "Additional Email" box on the Primary Contact page. Please list the player's email (if any) later in the Player's section as well (will be used later by HS coaches).
3) If you want to list the email address for the second parent, please add that information to the secondary contact information. You can send an invitation to that parent to create his/her own password and username for the account. Note: This is the same account - it just allows access by 2 users. Please do not set up 2 separate accounts. Also note that entering a 4th email under "Additional Email" on the secondary contact page does not give you a 4th email from the website. The website gives that information to HSAA, but that 4th email address will not receive emails generated through the website (which we use throughout the fall).
Phone Numbers:
We can't change the labels used by Blue Sombrero, so please enter phone numbers according to the directions below. New families, please follow these instructions. Returning families, please use the settings icon (small gear in upper right corner) to check your information and make sure all phone numbers are listed in the correct boxes.
1) On Primary Contact screen, enter the home phone in the "Telephone" slot. If you do not have a home phone, please leave that box empty. Enter the cell phone of the 1st parent in the Cell Phone box. 
2) Enter player's cell phone in the cell phone box on the Participant page.
3) Enter the second parent's cell phone in the Cell Phone box on the Secondary Contact screen. Leave the Telephone box blank on the Secondary Contact screen.

Returning Families:
Returning families, please check your account information after signing in. Make sure that all contact information is correct for player and parents. Use the settings icon (little gear in the upper right part of the page) to verify information. Please make sure parent/guardian names are listed in the parent/guardian section. Athlete name and information should be listed under 'Participant.' During the fall (before teams are formed, we use the Blue Sombrero system for emails and are limited to THREE emails per family. In the spring, we use a different system and can add more emails per family.

New Families:
Please follow the instructions below to set up a NEW account for your FAMILY.  You will be creating a single FAMILY account, which will be used for your child(ren) while playing HSAA Baseball (same account every year - saves on re-entering much of the data). if you have more than one child playing, you only need to set up one FAMILY account.

  • New Customer Primary Contact: Create your account here. Primary contact is the PARENT who will typically read/respond to emails and texts on last-minute field changes, etc. When complete, click 'Create new account' button at the bottom of the page.
  • Primary Contact Information: Enter the remainder of Primary PARENT/GUARDIAN information on this screen.  Please put home phone in 'Telephone' slot. If you do not have a land line, please leave this box blank. Enter the cell phone for the parent listed on this screen. Near the bottom of the page, you can click to add a second parent (and send an email to invite him/her to set up a secondary username and password for the account).Then add Secondary PARENT/GUARDIAN information. When complete, click 'Next' or 'Continue' button at the bottom of the page.
  • Add a New Participant: Player's information is recorded here. Please enter the player's email address and call (if any) on this page. Once the first Participant (Player) has been added, you may either...Scroll down to the bottom of the page and click on 'Update and Add Another Participant,' if you have more than one child to register. Otherwise, choose the program that you wish to register for and click 'Next. If no programs show up, please check the birth date entered for the athlete to make sure it was entered correctly. If that does not help, contact the Baseball Administrator (CONTACT US.)

Registration Process:

If you have more than one Participant (Player), there will be a list of programs that are available for a player under each player's name. Because of birth dates, some players may show to be eligible to play in both the Middle School and High School programs. Unless an exemption is granted by the HSAA Board, players must be in 9th grade to play on a high school team. Please select the appropriate program.
  • Available Programs: Click in the box by the player's name to select the correct program. 

  • Additional Participant Info: Enter all of the data for the player and click 'Continue' after the last question. In order to cut down on paper usage, many policies (that need to be read and acknowledged by parents and/or players) are listed within the registration process. Please have a parent and player present when filling out the registration form. Most questions require a response. If you cannot continue when you reach the end, please go back and see what might have been left blank or left unchecked. 

  • Checkout: Click 'Submit Order.' For tryouts, please pay by check or cash. You can bring payment to the first tryout or send by mail. You will have the option to use a credit card for player fees when players are placed on a team in November. Click 'Complete Payment' to finalize registration.

  • Order Confirmation: When you get to this page, click 'Submit Order.' You have successfully registered and will receive an email with the title "HSAA Baseball Order Confirmation & Receipt."

NOTE: Keep clicking the "Continue" or "Next" button at the bottom of the page until you reach the end.

Once you have created an account, log into that account for any future registrations (e.g., spring season team after teams are formed). (Do not create a new account). 

To check the status of your account once established, click on the LOGIN button in the top right corner of our home page.  You will need to enter the username and password that you entered when you first created your account. If you can not remember your login information, please click “login” in the top right, then the “Forgot Your Username and Password” button and enter your current email address.
